1 What will you do with e-Learning in a Box

1.1 Now that it is installed...

It’s very simple. Click on your start button and select KnowledgeXtensions from the Programs folder. Then select e-Learning in a Box Client. You will then have the choice of Launching a Document, going to the Learning Portal, or launching this tutorial.

To start, select Launch Document and you will be able to start writing your first online course. e-Learning in a Box will look like MS Word with one major exception – there is a Create New Course button. After you click on that button and set up your basic course structure (chapters and sections) you will notice that Word toolbars has a new toolbar with its own styles. These are called k-styles. K-styles are the knowledge objects that can be used to develop an e-Learning in a Box online course.


When you are writing with e-Learning in a Box , do NOT set font and paragraph styles with Word. You can only use the k-styles provided with e-Learning in a Box .


You will find that you have other files in your KnowledgeXtensions directories. The e-Learning in a Box authoring tools include a template (.dot) file that will help you write the course to a basic instructional design format. Everything you need to develop effective e-learning will be right in your document.

1.2 Authoring - Writing Courses Quickly

Using e-Learning in a Box , you will be able to write a course in an afternoon (or in the morning if you prefer). Using Word, with the e-Learning in a Box macros you will be able to get your online course online in minutes. You can include interactive sections in the online course by embedding those files in your e-Learning in a Box Word document. ELIAB accepts the following file types:

1.3 Tracking-How learners use the Learning Portal

As a learner who is taking a course designed with e-Learning in a Box , you will use the Learning Portal to register for a course and to access that course. Your learners will always be able to see where they left off and where they are.

1.4 Managing – Using the Learning Management System to administer courses and track your learners

As an administrator you can use the Learning Management System to track the courses and learners. You can view the progress of any student in any course that is on the system.

1.5 The e-Learning in a Box toolbar

Once you put the structure of your online course together, you will see the e-Learning in a Box toolbar. This toolbar sits on top of your Word toolbar and it contains the styles you will use when you are authoring your course.


Do not use the styles in the standard drop down box when you are authoring in e-Learning in a Box . Use the k-styles that display in your toolbars only!

2 How do I author a course?

2.1 Creating a New Course

Click on the Create New Course button on your toolbar. You are ready to create your first course. You can create the course with a pre-designed table of contents, or without one.


If you want to:

Select

Create a course, and you have not developed your table of contents/screens

Begin with a blank document.

Create a course, and you have already developed the table of contents

Use course wizard to enter chapters and sections.


With either of the choices listed above, you will need to enter a course name. Once this course name has been created, it cannot be changed. The ability to change course names is not supported at this time and will result in loss of content.

2.2 Using the e-Learning in a Box k-styles

e-Learning in a Box comes with a standard template. This template has all of the k-styles that you would need for a basic course. In general, these k-styles will work best if you select the style before you write the content.


You can only use the k-styles available in e-Learning in a Box .

These k-styles should be sufficient for a basic course or reference piece.


To select a k-style simply click on its name and the next line will be in the k-style you clicked.

The k-styles in the standard e-Learning in a Box course include:


Course Title

This style can be used only once in a course. The ability to change your course name is not currently supported and will result in loss of content.

Chapter Title

If you choose to create a custom course when you start e-Learning in a Box you can create your chapter titles as you start the course.

Section Title

You can have an unlimited number of sections in each chapter.

Normal

This is the standard typeface. When you use it the text in the course will be a standard Arial typeface.

Assessment

Clicking on the Assessment style summons a dialog box with several assessment types. Detailed information about authoring assessments can be found in the next section of this course.

Authors Note

Use this k-style to write a note to a production person who is working with you on the course, or a note to yourself. The author’s note will not display in the course itself.

Concept

Use this k-style to describe a concept.

Image

You can import images into your course. Clicking on this tag will bring a dialog box up where you can type in, or browse for the name of the file, and select Insert Image to include the image. The acceptable image files are:

gif, jpg, bmp and tif

List Title

Use this style whenever you will want to have a list. This is NOT the style to use for a procedure. The List Title k-style must precede a list – either numbered list, or bulleted list.

List Item

Use this style for the items on your list. This style is not used for a numbered list item.

Media

Selecting the Media style will bring up a dialog box where you can select and load your media. The acceptable media types in e-Learning in a Box include:

mp3, mpeg, rm, mov, asf, mpg, swf, wav

Note

Use this k-style to write a note that will be viewed by the learner.

Numbered List Item

Use this k-style for a list item with a number.

Objective

Use this k-style for an objective. The objectives will display in bullets (each bullet is a target with an arrow in the bulls-eye.)

Procedure

When you create a procedure, and select the Procedure k-style from the toolbar a dialog box will enable you to create the procedure.

Procedure Step

This is the style that your procedure steps will have when you create a procedure. (A good rule of thumb is that no procedure should be more than 7 steps long.)

Tip

Give your learner a special note or tip using this style.

Warning

Use this tag when the learner may make a mistake if they do not read the warning. Do not over use the warning k-style because readers may not take it seriously.

2.3 Views and Notes about the k-styles

The k-styles have rules which, when applied correctly, will improve the performance of e-Learning in a Box . In this section, we have included keystroke movies to show you how to use the various k-styles. The k-styles for assessments are in the following sections of this course.

If you are working collaboratively with others on your course, then you can insert a note to your reviewer which will be viewable only on the Word file.

Inserting a media object

Media objects can be included in e-Learning in a Box . The possible file types are: mp3, mpeg, rm, mov, asf, mpg, swf, wav. In the course you are viewing we used .swf (flash) files for the keystroke movies. These files were captured using Robodemo™.


Media type file names MUST NOT have spaces.

Adding a list to the course

In the e-Learning in a Box standard course you can add a list to your course. There are two types of lists in the standard course: a numbered list, or a bulleted list. Both list types must have a ListTitle.

2.4 Using the Assessment k-styles

The assessment style is a quick way to develop quizzes and tests within your online course. When you click on the assessment style a dialog box will pop up. You can view a video of how to build an assessment by clicking below:

2.5 The Assessment Question types

There are 5 different types of assessments including: multiple choice, matching, true or false, matching line, drag in order, fill in blank, and short essay.

Section 2.6 Validating the Course

Once you have completed your file, you can click on the Validate button. e-Learning in a Box will look at each style and make sure that the document will go to the server perfectly. If there is a problem with your document, e-Learning in a Box will return with an error message and you can fix the problem before you Check-In your online course.


There are no visual cues when you are in the validation process, until it is over. The document will be validated when you click on Validate.

2.7 Check-In

Checking in your course is how you put your file up on the learning portal for all to see. You can and should Check-In your course regularly while you are in development. After you have checked your course in, you may want to launch the course and take a look, or you may want to continue writing. Either way, once you have checked in the course you will have a version up on the server.

2.8 Launching the Course

You have checked in the course. Now, let’s see how it looks. Click on Launch to start the course. You will be directed to the Learning Portal. You can log on, and view the course.

2.9 Using the Hyperlink feature

A hyperlink is a link to another section of a course, or to an external website. For example, if you would like to refer back to a procedure or to a website you can use the hyperlink feature to create this link. Here is a procedure for creating a hyperlink to the assessment style section of this course:

Step 1
Highlight the word or words you want to link

Step 2
Click on Insert Hyperlink

Step 3
Click on In this Document on the left bar of the Hyperlink popup

Step 4
Select the section to link to by clicking on it.

You can decide how you want to have the hyperlink display when you select Target Frame in the Hyperlink popup.

2.10 Where did my file and toolbar go?

“I was working along and I wanted to save my file. I was not ready to check it in, but I wanted to go out to lunch” This author was surprised that he could not use the SaveAs command from the toolbar.


The SaveAs is disabled when you are working on your e-Learning in a Box course.


When you click on Save, your document will be saved in the Program directory in the KnowledgeXtensions/ECOURSE file


When you use the Save command a dialog appears:

“Do you also want to save the template”

Click on No. Changing the template could alter the performance of e-Learning in a Box .


You cannot work on the file outside of the authoring environment because there are links to the server side of e-Learning in a Box. To maintain the integrity of the file, and its elements you must save within e-Learning in a Box.

You may notice that your toolbars in Word are also gone. Simply press the right mouse button and you can view any toolbars that are not visible when using e-Learning in a Box. However, we do not recommend that you add toolbars back into your Word. e-Learning in a Box will work best when you use only the toolbars that are available with e-Learning in a Box.

3 How will your learners use the Learning Portal?

3.1 What is the Learning Portal?

The Learning Portal in e-Learning in a Box is where your learners will go to register for and open up your courses. The administrator will use the administrator’s Learning Portal to track the progress of the students, add students, add courses, and manage the system overall.

When opening the Learning Portal, the student will be taken to a login page where they enter their user name and password. After submitting this information, a separate window will appear through which communication to the LMS is done. This window must remain open while the program is running. It will not interfere with any e-Learning in a Box functionality.

3.2 Finding the Course

   Find a specific course from the directory

   Register for a course.

All of the courses on that server will be listed when you click on the find course tab. You can select a course and the click on the Register button. There will be a confirmation message – “Do you want to proceed with registration for course……?” When you select Yes, you will be registered for the course. You will notice that once registered, you will be back at the My Courses tab. You can then click on the Go to Course button.

3.3 Viewing my certificates

Click on My Certificates to see the certificates you have earned, and your certification score.

3.4 Viewing my History

Clicking on My History will reveal a view of the courses that you are taking. For any course in your history, you can view a report by clicking on View a Report. Then you can view the details, down to the specific questions in that course. For example, you can see how a specific student did on a specific question in one chapter of the course.

3.5 Changing the "About me" section

The About Me tab can be changed at any time. You can re-set your password, change your user name, or change your email address.


It is not advisable to change your user name.

4 How do I deliver the courses and report on the students?

4.1 Signing in as an Administrator

To sign in as an LMS administrator follow this procedure:

Click on Start

Step 2
Select KnowledgeXtensions from the Programs choices

Step 3
Select e-Learning in a Box

Step 4
Select Learning Portal
A Logon Page displays

Step 5
Type user name: Admin

Step 6
Type password: Admin
The LMS administration screen appears

Section 4.2         Managing Courses

Each course that is on your server has statistics associated with it. Click the Manage Courses button and you can track how many users are taking a specific course, and you can open or close registration. You can also use this tab to remove a course from the LMS.

4.3 Managing Users

You can add and remove users when you click on the Manage Users button. Click the Add User button after you have completed the form to add a new user. To delete a user simply click on Delete next to that user’s name.

4.4 Viewing Student Reports

The Student Reports feature of e-Learning in a Box is quite powerful. You can check which courses a student has registered for and track their progress. Drill down further, by clicking the course name and view the student’s test score. One more click on the chapter title itself and you can see which questions were not answered correctly.

4.5 Viewing Course Reports

Click on the Course Reports button to view a report on each course, the group of registered learners taking the course at the present time and to link to a view of an individual student’s progress. When a student has completed a certification course through certification, then you will be able to print a copy of their certificate.

4.6 Certificates

Pressing the certificates button will bring up a display that shows, by course, how many of the total number of students have completed that course through certification.

Use this section of the course to create your definitions and glossary. On-line these terms will appear as glossary items. They will be highlighted. To add a glossary item, click Add Term in the bottom of the table.
